Encounter is seeking an Executive Assistant & Development Associate. The ideal candi­date is a highly orga­nized, moti­vated self-starter comfort­able working in a fast-paced envi­ron­ment. S/he possesses an Exceptional work ethic, striving for excel­lence in all tasks big and small. This is an exciting oppor­tu­nity for an early career profes­sional looking to get hands-on expe­ri­ence in a rapidly growing non-profit by supporting the Executive Director’s daily activ­i­ties and the organization’s fundraising efforts.

Job respon­si­bil­i­ties include but are not limited to:

Executive Support

  • Manage Executive Director’s calendar, sched­uling and confirming appoint­ments and coor­di­nating travel arrange­ments and speaking engage­ments, as needed; Prepare expense reports;
  • Support Executive Director’s prepa­ra­tion for meetings;
  • Prepare mate­rials and take minutes at Board meet­ings and rele­vant committee meetings;
  • Assist with special projects in conjunc­tion with Executive Director;
  • Prepare expense reports and reim­burse­ments in a timely fashion;
  • Assist with special projects in conjunc­tion with Executive Director;
  • Additional respon­si­bil­i­ties to be deter­mined in conver­sa­tion with Executive Director.


  • Donor Relations: Track progress on annual fundraising goals; Manage donor acknowl­edge­ments and fundraising data­base; Manage moves manage­ment systems for donor outreach; Coordinate outreach and logis­tics for donor events; Coordinate email and mail fundraising campaigns;
  • Donor Research: Conduct prospect research on indi­vid­uals and foun­da­tions; Create/maintain briefing/overview docu­ments; Complete annual devel­op­ment analysis of indi­vidual donors.
  • Communications: Update/maintain Encounter’ website; Maintain/manage commu­ni­ca­tions collat­eral mate­rial; Format orga­ni­za­tional emails and mail­ings; Maintain email/mailing lists and ensure up to date contact infor­ma­tion for all external stakeholders.

Competencies and Qualifications

  • Meticulous atten­tion to detail and demon­strated track record of follow-through;
  • A ‘can-do’ mindset, posi­tive orien­ta­tion to problem solving; self-starter;
  • Excellent inter­per­sonal skills;
  • Disciplined time manage­ment and ability to prioritize;
  • Strong data and data­base manage­ment skills, ability to create and run reports, manage and inter­pret data (profi­ciency with Excel needed, knowl­edge of Salesforce, a plus,);
  • Knowledge of the American Jewish commu­nity and the nonprofit sector;
  • Ability to work some evenings and occa­sional weekends;
  • 1–3 years rele­vant work expe­ri­ence a plus;
  • Bachelor’s Degree or equivalent;
